FAQ - eResource







What is eResource?

eResource is an online resource management system that allows users to book company resources and arrange for meetings within a few easy clicks. eResource offers great convenience as users can easily check on the availability of company resources, make bookings for them, and even invite participants to the events that the resources are reserved for.

How do I make a resource booking?

To make a resource booking, simply follow these steps:

  1. Once you have logged in to the eResource module, a schedule display of all the company resources will appear, thus allowing you to check on their availability at a glance.
  2. Select the resource that you would like to book by checking against it.
  3. Either click directly on the time slot that you would like to book or click on the 'Booking' icon. A booking details box will appear on the screen. You will need to enter the name of the event and indicate the booking date and time for the selected resource in this box. Click on the 'Add Booking' icon to submit your booking if you do not wish to invite any participants to the event.
  4. If you would like to invite participants to the event, simply enter the number of participants (optional) and their email addresses. Emails will automatically be sent to these participants to alert them of the event. If you have entered the total number of participants, eResource will perform auto-checks to ensure that the number of participants does not exceed the allowable capacity of the room. An alert will appear if the allowable capacity of the room is exceeded.
  5. Click on the 'Add Booking' icon to submit your booking once you have entered all the details.

How do I check if a resource is available for booking?

Once you have logged in to the eResource module, a schedule display of all the company resources will appear, allowing you to check on their availability at a glance. You can check on a resource availability by day, week or month.

How do I update a resource booking?

You will only be able to update your own resource booking. To do so, simply click on that particular event shown in the resource schedule display after you have logged in to the eResource module. The booking details box for your event will be displayed. Update your resource booking and click on the 'Update Booking' icon to submit your changes.

How do I delete a resource booking?

You will only be able to delete your own resource booking. To do so, simply click on your event shown in the resource schedule display once you have logged in to the eResource module. The booking details box for your event will be displayed. Select the 'Delete Booking' icon and your resource booking will be removed from eResource.

How do I add a new resource to eResource?

You can add a new resource to the system only if you are the Superuser / eResource Administrator. To do so, simply follow these steps:

  1. Click on the 'Resource' icon once you have logged in to the eResource module. A complete list of your company's resources which have been created earlier in the system will be displayed.
  2. Next, click on the 'Add' icon. A resource details box will appear. You will need to add the name of the new resource, its holding capacity and a detailed description (optional).
  3. Once you have entered all the details, click on the 'Update Details' icon to submit your new resource entry.

As the Superuser / eResource administrator, how many resources can I create in the system?

There is no limit to the number of resources that you can add to the system. To add a new resource, simply follow the instructions given in FAQ 6.5.

How do I remove a resource from eResource?

You can remove a resource from the system only if you are the Superuser / eResource administrator. To do so, simply click on the 'Resource' icon. A complete list of your company's resources which have been created earlier in the system will be displayed. Select the resource that you would like to remove by checking against it. Once you have made your selection, click on the 'Delete' icon to confirm it.

Can I invite participants to the event after I have made a resource booking?

Yes, you can. To do so, simply follow the instructions given in FAQ 6.1 (Step 4).

How do I find out who made the resource booking?

To find out, simply click on the event shown in the resource schedule display once you have logged in to the eResource module. The booking details box for the particular event will be displayed, and you will be able to determine is behind the booking by looking at the originator of the resource booking given in this box.
