Ask any employee about what their human resource (HR) department does and more
often than not, record keeping and manual, repetitive and paper-based job comes
to mind. This traditional HR role has kept many good HR people from spending
more time crafting policies that can keep employees happy, which in return, can
reduce employee turnover.
Determined not to fall into the typical HR rut, Singapore
Engineering Software (SES) decided to add an e-spin to their HR
work process. By adopting JustLogin.com's suite of collaborative applications,
the company is able to improve company-wide communication, reduce paperwork and
speed up administrative processes, enabling both employees and HR staff to
concentrate on their core competency.
"SES has been using JustLogin's
suite of applications since March last year. It has effectively and efficiently
helped us to manage our human resource and office administrative processes at
minimal cost and resources," said Jenny Yip, manager, human resource, SES
JustLogin.com is an application service provider (ASP) that allows
business to conduct internal surveys, apply leave, manage office resources, post
announcements and news, task scheduling, maintain personnel directory, and share
information over the Net. Some applications include eLeave, eForm, eSurvey, and
eMeeting.
The project was championed by Yip, who actively promoted the
use of the applications among staff. As a result, the company managed to obtain
good response and high level of usage. JustLogin.com's suite of applications
took three weeks to implement, as customisation of features was required.
According to Yip, they had to customise forms as well as the leave module in
order to link it up to SES' staff system.
Customisation of the
applications took three weeks but once that was completed, employees could
immediately access the applications by entering their User ID and password over
the Internet.
Training was required but minimal. "Hands-on training for
the administrators of each module was conducted and comprehensive FAQs are
provided at JustLogin's Web site." Nevertheless, the implementation still
required a change in employees' mindset and way of doing things, she
added.
After helping employees discard their apprehension and resistance
against the new system, the next thing to do is just to kick back and enjoy the
benefits that are rolling in.
Yip revealed that productivity of workers
as increased and with employee self-service, the HR department is no longer
bogged down by requests for leave records.
With the benefits at hand,
it's not hard to understand why SES is asking for more.
After experiencing the benefits derived from an ASP and the
convenience the technology brings to us, SES will continually seek ASP outfits
and technology that will help us with our business functions and processes. We
expect to achieve more cost-savings and work efficiency that will see
the company to a more profitable year in 2001."
